Data Privacy Notice

Your Data and Privacy are important and we work to handle them both securely and legally at all times in compliance with the General Data Protection Regulation (GDPR) effective from May 25th 2018. We have created this privacy notice to demonstrate our commitment to the privacy of our customers.

What information Do We Collect?

When you book a repair service with us, we keep the information you provide on file, such as your name, address, email address and telephone number or numbers so that we can carry out our service of collection/return and repair or contact you at any time during the process. This information is also necessary for invoicing and payment. For jobs involving site visits, or phone calls with engineers, the information required to locate and contact you are also held securely protected in an electronic diary.

Voicemail messages from you are kept as required but are routinely deleted.

Emails from you are also kept while necessary to do the work, but then are deleted unless there is a legal requirement to keep it.

What we DO NOT collect.

We cannot and do not wish to identify individuals who visit our websites.

How do we keep your Data Secure?

Information written on paper is kept locked up when not in use, including rough notes.

Electronic copies of booking files, invoices and electronic diary entries are securely protected on electronic devices and the data is held on servers by companies who also comply with GDPR.

How and Why do we use the information?

The GDPR allows us to use and share your personal data only where we have a proper reason to do so, such as;
Consent: You agree to allow us to use your postcode for usage analysis.
Contract: You have agreed a contract with us or you have asked us to take specific steps before entering into a contract with us.
Legal obligation: We must comply with the law.
Vital interest: To protect someone’s life.

We use the information provided -

  • to supply the contractual documents for the agreed work.
  • to support you as a customer in our services, or responding to comments and questions from you.
  • to understand and analyse the usage trends and preferences of our customers to improve our services.

Who do we share your information with and Why?

We work with a number of trusted providers who have been vetted and are GDPR compliant to provide a range of services as requested by you, our customers -

Your data may be shared with

  • Our Engineers who visit you or make repairs to your devices/networks.
  • Third party service providers offering specialist skills/equipment not held within our company, at your request.
  • Payment processors to make online payments.

In addition, your data may be seen, but not analysed by, service providers who meet GDPR, that we have chosen and require to meet our legal business commitments.

How long do we keep your Personal Data?

We keep your data while you have an account with us and sometimes longer if there is a legal requirement.

Contact details, account and payment history are retained for 6 years.

What are your rights?

Under GDPR you have rights related to how we protect and look after your personal information.

You have the right to ask us for your personal information that we hold and process about you. This is known as a subject access request.

You can also ask:

  • that any inaccurate information we hold about you is corrected;
  • that we delete information about you in certain situations;
  • that we stop using your personal information for certain purposes;
  • that we don’t make decisions about you by completely automated means;
  • that personal information you have given us be provided to you in a common machine readable format, or sent to a third party where this is technically feasible;

The rights set out above may apply in limited circumstances, and we may not always be able to comply with your request to exercise these rights. We will always try to respond to a request to exercise your rights within 1 month.
